Rental terms and conditions

The rent is calculated on the basis of the prices set by AV-Group from time to time.
The rental period starts on the day of collection at 11.00 am and ends at 11.00 am on the day of return unless otherwise agreed in writing.
In the event of late delivery of equipment, AV-Group is entitled to charge extra rent and to recover any costs AV-Group may have incurred in fulfilling another rental agreement.

Extension of the rental period must be made in writing and is not accepted until AV-Group has given its consent.
Failure to return the equipment at the agreed time will result in unconditional liability for damages, and the lessee will incur liability under Section 293 of the Danish Criminal Code (utility theft).
If the agreed rental period is not observed by the lessee, AV-Group is entitled to collect the rented equipment at the lessee’s expense without notice.

The same applies if the tenant is in gross breach of contract, e.g. by failing to pay rent at the agreed time.
Breach of contract also includes receivership of the tenant, bankruptcy or other suspension of payments.
Such a breach of contract does not entitle the tenant to a reduction of the rental fee.

Rental prices are based on pick-up at our address, delivery/pick-up is carried out after quotation.
Shipping is subject to postage/freight + a fee of DKK 100.00 + VAT.
The rental is calculated from the day of shipment until the equipment is returned to our address, if no other agreement exists.
The rental fee is payable even if the rented equipment is not used.

Any damage or defects to rented equipment must be reported immediately to AV-Group on the hotline 61 61 60 00 or 61 61 60 60 01, otherwise any rental refund is excluded.
For any rental of recording equipment, we only assume liability for the first media.

Any compensation shall therefore only be granted for the first medium at the purchased price and full or partial rental compensation.
Apart from this, any compensation for damages is excluded regardless of the nature of the fault and how it occurred.
We assume that the lessee is capable of operating the rented equipment and therefore the rented equipment is always used at the lessee’s risk.
Damage to the lessee’s or a third party’s equipment/installation due to incorrect operation is the lessee’s own responsibility.

The rented equipment is not insured if it is not stated on the rental agreement.
No changes or repairs may be made to the rented equipment without special permission from us.
According to the rental conditions, AV-Group cannot be held liable for any damage caused by the rented equipment.

All orders are received with reservations.
There may be circumstances beyond our control that make it impossible for us to deliver the equipment ordered.
In such cases, we are not liable for any consequences this may entail for the lessee.
We will, of course, do everything in our power to find solutions in such cases.

The rented parts may not be transferred to the custody of others or sublet to third parties.
The rented parts may not be taken outside Denmark’s borders unless there is a special written agreement.
The rented equipment must at all times be returned in the same condition as it was picked up.
The lessor is entitled to charge a fee of DKK 20 per cable if the lessee has not ensured that all cables are correctly coiled.

At the same time, the lessor reserves the right to charge the lessee a fee if the rented equipment has not been cleaned before return, including removal of tape, glue residue, candle wax, beer, soft drinks and similar.
Cables must be thoroughly cleaned before return.
There is currently a charge of DKK 490 + VAT.
per hour for cleaning of equipment and cables incl. auxiliary materials.

All prices are exclusive of VAT and other taxes, unless otherwise stated.
Verbal offers must be accepted immediately, otherwise they are void.
Unless otherwise stated, written quotations are valid for 10 days from the date of quotation, after which they are void.
The price is our current price, determined at the time of submission of the offer, subject to wage and material increases, fluctuations in exchange rates and changes in customs, freight, transportation and other costs.

For orders canceled before 30 days before the first day of rental or production, we reserve the right to charge the project manager a fee for the time spent on planning.

If the contract is canceled later than 30 days before the first rental or production day, the lessee shall pay 50% of the rental price + technician’s fee as stated in the contract/order confirmation, but at least DKK 500 excl.
VAT.

If the contract is canceled later than 7 days before the agreed rental date, the tenant will be charged 100% of the rental price + technician fees.
This also applies to uncollected installations.
Any cancellation must be made in writing directly to AV-Group.
Extension of a rental contract must also be made in writing.

Returning the rented equipment before the expiry of the rental period does not entitle to a reduction of the rent, unless otherwise agreed in writing.
In the event of cancellation, AV-Group reserves the right to invoice the actual costs incurred in connection with tendering, planning, task-specific investments and technician and consultant fees.

The organizer is at all times responsible for catering for AV-Group’s technical staff, unless otherwise agreed in writing.
This may sound a bit corny, but it is only to ensure that our staff are fed during the event, as it is often not possible to leave the site during the event.
During the entire set-up and take-down, we provide our own catering.

It is always the lessee’s/organizer’s responsibility to ensure that correctly dimensioned power is established max. 10 m from the stage or set-up site, unless otherwise agreed.
The dimensions of supply cables and the rest of the installation must be in accordance with the high voltage regulations.
Active earth must be established.
AV-Group can offer high voltage distribution in the form of cables, panels and installation for a fee.

Parking, access, permits, stage location and more.

Offers for productions do not include any parking fees or customs duties.
It is at all times the responsibility of the organizer to have requested any parking permits etc. for AV-Group’s vehicles.
Registration numbers of our vehicles can be provided on request.

It is also the organizer’s responsibility to ensure that the unloading area close to the load-in area is cleared so that we can drive to it with a van or truck.
If the equipment is not to be used at street level and can be wheeled all the way from unloading to the place of use, it is the organizer’s responsibility to notify this at least 5 working days before production starts.

If the equipment has to be carried manually to floors other than where the load-in takes place, the additional costs for movers/crew are the responsibility of the organizer or client.
It is the organizer’s responsibility to ensure that the venue or floor plan clearly indicates where set-up is to take place and that the stage location is marked.
If set-up of the stage has been started and carried out correctly according to the drawing/instructions, and the customer wants the stage/equipment relocated, technician hours will be charged at the applicable rate.

For outdoor events, all equipment must be effectively secured against the elements.
Extra tarpaulins or other cover must be provided.
AV-Group reserves the right to reject the lessee’s measures against this and stop production until the necessary security has been provided.

If, verbally or in writing, agreed stagehands/helpers are not present, the responsible organizer will be charged an amount that currently amounts to DKK 500 + VAT per hour.
If one or more stagehands are absent, please be aware that the schedule may not be met and delays may occur.
AV-Group cannot be held responsible if this happens.

Equipment rented from AV-Group as a business customer must always be insured against theft and accident.
Therefore, all rentals to business customers are subject to a fee of 5% of the gross rental price.
The insurance is an all-risk insurance with a deductible of DKK 10,000 and covers damage or loss of the rented equipment caused by damage, destruction or theft.

• Outside Denmark
• Scratches on screens, optics and canvases
• Damage caused by spilled beverages in equipment caused by the lessee or their guests, employees and representatives
• Damage caused by gross negligence by the tenant or self-induced intoxication
• Operating loss or other indirect consequence of damage
• If the tenant does not comply with the terms of the lease
• Lost equipment of a nature that is distributed/loaned to meeting participants etc.
• Simple theft
• If theft, destruction or sabotage is not reported to the police without unreasonable delay
• If there are no obvious signs of break-in or the equipment has not been stored in a locked room
• Theft from cars, trailers, vans and trucks

In the event of damage or theft, the tenant must report this to the police immediately.
At the same time, AV-Group must be notified immediately on the security number 61 61 60 00 or tel. 61 61 60 01.
AV-Group must receive a damage report from the tenant as well as a receipt or copy of the receipt for reporting the damage to the police.
